General Summary/Purpose:
Theposition isresponsible for assistingthe departmentAdministrator andtheDirectorofUndergraduate Studieswithadministrative tasksrelatedto theactivitiesfor300+undergraduatestudentsin theDepartmentofChemicalandBiomolecular Engineering(ChemBE).Theywillorganize,update andmaintainoffice files,andprocessalldocumentsrelated toChemBEundergraduateacademicaffairs.Theywillmaintainconsistentdata acrossapplicationsusedbyallUniversityandWhitingSchooloffices.They willassistwithrecruitment,admissions,scheduling,andeventplanning
Specific Duties & Responsibilities:
Theprimarydutiesandresponsibilitiesof the job:-
Manage andmaintainelectronic applicationsthroughoutcycle.Assistwithcompletingapplicationfilesbyemailing orcallingapplicantsandcoordinatingwithUndergraduateAdmissionsoffice.
Sendfollow-updepartmentadmissionslettersandmanage responsesfromadmittedstudents.
Coordinate
enrollmentdocuments.Process,uploadandfollowup onenrollmentsto besurethey have been updated in
thevariousJHUsystems.
Trackgraduationprogressfor seniorsandjuniors(3x a year).
Manage the degree audit system, including
documenting and tracking program exceptions for every student, and
communicating curriculum changes to Academic
Affairs.
Provide support for the ABET accreditation
and represent department at school-wide accreditation process
meetings.
Collectcurrentandpaststudentdata.Generate statisticalreportsrelatedtoapplicationandadmissionsdata.
Schedule ClassMeetings(Freshman,SophomoresandJuniors,eachsemester)
Assign faculty advisors
and coordinate advising week – communicate with faculty and
students; release holds if necessary.
Prepare letters and assist students with
any paperworkrelatedtotravel,lateregistration,employment,orvisas.
UtilizeSISandotherRegistrar’soffice formsto assist
theDirectorofUndergraduateStudieswithcourseschedulingprocessesincluding
completing courseworksheets,ensuringtimely
submission,processingchanges,workingwithfacultyandRegistrar’sOffice,requestingclassroomassignmentsandequipmenteachsemester.
Assistwitheventplanningfororientationsessions,guestspeakersatstudentorganizationeventsandexternalconferences.Shownew andprospectivestudents thedepartmentfacilities.
Work closely withtheSr. Academic Program
Coordinatortorunallgraduation-relatedevents.
Organize annualundergraduatefacultyretreat.
Manage departmentundergraduate
awards(spring)includingconvocation.
AssistfacultyliaisonwithMULYandPURAawardseachsemester.
Update ASENcourse catalog,
undergraduate handbook, andother publicationsannually.Proofreadmaterials and
assembleinformationpacketsfor prospective
students.
SupportUndergraduateDirectorinmanagingthefreshmanintroductory
class(540.101)
Provide assistanceto
AIChEstudentorganization.
Deliver andpickup itemsfromvariousoffices.
Initiate Hire/Termination
ISRs for students. Process payroll for hourly-paid TAs, course
graders, and student workers through the SAP payroll
system.
Initiate shopping cart
through SAP and assist TAs on the shopping cart
process.
Act as a liaison and
resource for student organizations to support the success of URM
and other historically underrepresented and underserved
students.
Work closely with Cultural
and Diversity Inclusion committee to develop programs that foster
student, staff, and faculty education in social justice,
anti-racism, health equity, macroaggressions, and implicit
bias.
Other duties as
assigned.
Minimum Qualifications (mandatory):
-
High School
Diploma/GED.
Three years administrative/academic related
experience.
Additional education may substitute for
required experience, to the extent permitted by the JHU equivalency
formula.
JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. Additional related experience may substitute for required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.
Preferred Qualifications:-
Bachelor’sdegree preferred.
Experience in an academic
setting is strongly preferred

ProficiencywithMicrosoftWordandExcelrequired.FamiliaritywithAdobe Acrobatispreferred.
MicrosoftPowerPointexperienceisdesirable.
Skilledinfriendlyandprofessionalinteractionwithstudents,staff,researchers,andprofessors.
Musthavestrongorganizationalskillsandability to learnnew tasksandprocesses.
Excellentwrittenandoralcommunicationskillsrequired
Thispositionrequiresahighdegreeofattentiontodetailandexcellentinterpersonalskills.Qualifiedcandidatesmust bepolite,friendly,professionalanda teamplayer.Thispositionrequiresanindividualwho ishighlyorganizedandabletoprioritize andhandle multipletasksinanextremelyfast-pacedenvironment.

This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
