Position Primary Purpose and General Responsibilities

The primary purpose of the IRB Reliance Coordinator is to conduct pre-review analysis of IRB submissions for reliance on external IRBs to ensure compliance of submissions with institutional policies and procedures. This analysis will help identify any missing information that would preclude the ability to complete the institutional compliance review. Conducting an adequate review would comprise of following up with investigator/study staff to obtain corrections or needed information and would ensure ancillary committee reviews are in place. Upon verification of submission compliance with institutional policies the incumbent will release submission for review by external IRB . It is crucial that the incumbent of this position maintain accurate data and records regarding IRB reliance relationships and studies approved by an external IRB . It is also a responsibility of this position to assist VCU study teams with the IRB reliance request submission process by serving as liaison between the external IRB, the ORSP, and the VCU study team and by coordinating efficient and timely review for compliance with institutional policies. As liaison, the incumbent will serve as the ORSP point of contact for studies relying on external IRB and will facilitate effective communication about the reliance review process to the external IRB, VCU study team, and all involved parties. Additional responsibilities will include working collaboratively with teammates in managing the IRB Reliance Program by providing consultation and guidance to researchers.

Minimum Hiring Standards

The ideal candidate will meet the following minimum qualifications:

-Strong organizational skills with attention to detail

-Ability to maintain accurate data records regarding IRB reliance relationships and studies approved by external IRBs

-Ability to exercise sound and consistent judgment in within a defined process

-Familiarity with institutional policies and procedures for conducting research is necessary

-Demonstrated effective communication skills for guiding research staff in the submission process, and the ability clearly communicate requirements related to the reliance process

-Attention to timeliness of reviews and maintaining an acceptable turn-around time for reliance submissions to ensure target timelines are met

-Experience in human participant research and institutional policies and procedures pertaining to human participant research

-Capable of developing strong interpersonal relationships with colleagues and study teams

-Knowledge of federal regulations governing human participant research and institutional policies

-Ability to apply written policies to research submissions

-Ability to convey institutional policy requirements verbally and in writing to faculty, staff, and students

-Ability to set priorities and manage time effectively; in consultation with supervisor in order to complete work within deadlines

-Ability to perform repetitive tasks with attention to detail and to identify non-standard submissions

-Highly effective interpersonal skills to handle sensitive and confidential situations

-Exhibits diplomacy and exceptional customer service

-High level of proficiency with MS Word, Excel, and PowerPoint, as well as experience using databases

-Ability to learn new computer software

-A commitment to expand on knowledge of human subjects research regulations and research ethics by attending local, regional, and national conferences/workshops made available to staff

-A demonstrated commitment to continuous quality improvement such as identifying areas for increased efficiency or developing solutions to challenges

-Performs occasional light (20 lbs.) lifting

-Demonstrated experience working in and fostering a diverse faculty, staff and student environment or commitment to do so as a staff member at VCU

Preferred Hiring Standards

The ideal candidate will also meet the following preferred qualifications:

-Bachelor’s degree in related field, or equivalent combination of training and experience is required; training and experience may include working in an IRB office or in the conduct of research studies, and must involve an extensive proven ability to coordinate and manage the continuing processing of information in submissions

-Currently holds or has the ability to seek certification as a Certified IRB Professional ( CIP ) upon meeting eligibility requirements.
