General Summary/Purpose

Under the direction of the Department of Medicine (DOM) Credentialing & Compliance Administrator, this position coordinates activities for Active Medical Staff and Faculty Appointments for the DOM, to include but not limited to, training and assist other divisional credentialing staff. Coordinates the academic credentials for faculty, providers, APP, postdoctoral fellows, trainees, observers, rotators, medical students, house staff and visiting appointments. Coordinates the medical staff appointments for all credentialed faculty, providers, fellows, medical staff, house staff, and others, as needed. In addition, handles visas for credentialed providers. Interprets operating and university policies; exercises independent judgment in resolution of credentialing issues. Reports to the Credentialing & Compliance Administrator, DOM.

Specific Duties & ResponsibilitiesAdministrative
  • Oversees in conjunction with the Credentialing Administrator, all aspects of appointments and credentialing for faculty, fellows, medical staff, house staff and others.
  • Develop, implement and maintain appropriate departmental policies and procedures related to executing the credentialing processes in accordance with JHH and JHU School of Medicine policies, government regulations and Joint commission guidelines.
  • Create credentials-related reports for Administrator, departmental credentials personnel, division chiefs, search committees, etc.
  • Educates and informs faculty and division personnel about credentialing policies and procedures.
  • Create manuals, flow charts and other educational material related to the credentialing effort in the Department.
  • Maintain existing database, automate the credentialing and medical staff process for the DOM.
  • Maintain the Share Point site with updated credentialing and medical staff information.
  • Leads the process frombeginning toend the provisional process fortheMedical Staff appointments in conjunction with DOM Credentialing.
  • Leads the process frombeginning toend with the division on theAcademic Appointment in conjunction with DOM Academic.
  • Leads the process frombeginning toend with the divisionfor fellows, observers, rotators, trainees and visiting appointments (clinical and academic).
  • Leads the visa process in conjunction with the International Services Office, legal and HR.
  • Liaison with divisional HR onfaculty, fellows,providers,APP,house staff and others on the appointments and status.
  • Leads the reappointment and review process for the division.
  • Leads the database process for the division on all appointment types’ terminations and resignations.
  • Supports the DOM Credentialing staff and Divisional Administrator regarding all medical staff appointments for initial appointments and assists with reappointments for the DOM.
  • Interpret JHH Medicine Administration, as well as faculty- and fellow-related policies of the School of Medicine for the division, Chairman’s Office, Division Chiefs, Division Administrators, and individual Faculty and Medical Staff members.
  • Liaison with other divisional coordinators and division administrators on academic and medical staff appointments.
  • Maintain and modify departmental database, integrating appointment, credentials, historical information, etc. for all DOM faculty and others.
  • Maintain the electronic files for the divisions for all appointment types.
  • Create and maintain the spreadsheet tracking processes for all appointments types.
  • Provides weekly updates per the spreadsheet to the division on status of appointments.
  • Serve as liaison between the Department, DOM Credentialing, JHH Medical Staff Administration, the School of Medicine Dean’s Office, Registrar’s Office, Post Doc Office and the JHU Office of International Student, Faculty and Staff Services.
  • Provide information to the Departmental Billing Office about prospective appointments to the Medical Staff.

  • Minimum Qualifications(Required)

    • High School/GED required.
    • Some college coursework preferred.
    • Three (3) years of related experience required.
    • Additional education may substitute for some experience.
    JHU Equivalency Formula:30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. Additional related experience may substitute for required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.
