Administrative Assistant - Master of Science of Athletic Training and Master of Occupational Therapy

Classification: Support Staff- Full Time- 12 Months- 2080 hours

Reports To:Master of Science of Athletic Training Program Director and Master of Occupational Therapy Program Director

Description: The Master of Science of Athletic Training and Master of Occupational Therapy Support Staff must plan and arrange their own work, accomplish assigned objectives, use a wide range of behavioral competencies, and work collaboratively with the College's Graduate Directors, Department Chairs, faculty and administrative and support staff.

Responsibilities:

Personnel
  • Full-time faculty—search coordination and onboarding processes
  • Adjunct faculty—position posting, applications, background checks, contracts, orientations and onboarding, load calculations and merit reviews
  • Staff—training and onboarding across the College
    Courses
  • Assist with course scheduling including maintaining databases for this purpose
  • Assist with the adjunct faculty hiring process, communications and orientation
    oposting, applications, background checks, interview scheduling, contract writing
  • Assist with textbook adoptions and secure desk copies for faculty
  • Provide support in the assessment of adjunct faculty (load, longevity and merit)
  • Receive, review and post course syllabi
  • Proctor and scan student exams
  • Assist with the full-time faculty hiring process
  • Schedule meetings and reserve necessary spaces and/or equipment
    Curriculum
  • Timetable updates with Registrar
  • Assist with program assessment reports and reviews
  • Maintain student files and curriculum databases such as CastleBranch, Typhon, eValue Management Systems and EXXAT Clinical System
  • Assist with licensure and discipline specific testing processes and data collection
  • Assist with catalog copy
  • Posting of course syllabi to the University portal at the start of classes each semester and term
  • Assist with meeting scheduling related to curriculum initiatives
  • Communicate semester due dates such as midterm grades, final grades, and incompletes


    Projects
  • Assist and coordinate projects such as student orientation, pinning, graduation, etc.
  • Develop and maintain calendar of events and initiatives
  • Assist faculty, students, and external constituencies who have questions
  • Assist with Department and Program website maintenance
  • Assist in Alumni outreach planning and databases
  • Assist with admissions outreach including correspondence review, campus visits and campus day faculty coverage schedules
  • Maintain and update an electronic site of common and discipline specific materials for the accredited academic programs
  • Assist the with the preparation of assessment reports, accreditation self-study materials, planning of site visits, and preparation of annual reports
    Communication
  • To faculty regarding semester due dates including midterm and final grades, and incompletes
  • To students regarding clinical requirements and Program information
  • Creating and maintaining listservs
  • Maintaining MyGroups sites
    Other
  • Special projects
  • Candidates must be willing and able to support and advance the University mission.
  • Perform other duties as assigned

    Qualifications:

    Education and/or Experience
  • High School Diploma/GED required
  • Associate's or Bachelor's degree preferred
  • Prior experience in an academic setting preferred

    Technology Skills
  • Competent in computer skills including Microsoft Office Suite.
  • Ability to quickly develop competency with new software technology.
