The Department of Anesthesiology & Critical Care Medicine is seeking anAdministratve Manager. This position, in collaboration with the Chief Nurse Anesthetist and Associate Administrator, manages the human resources, operational planning, administrative and financial oversight of the Division of Nurse Anesthetists. This position also oversees and manages the daily and strategic operations of CRNA Clinical Staffing in collaboration with the Vice Chair of Clinical Operations, Director of Manpower, Clinical Staffing team, and Associate Administrator.

This position partners with the Chief to define and implement the vision of the division, work with staff to develop and implement new initiatives, and ensures policies and procedures are followed. This positon encompasses financial/budget oversight, staff/human resources issues, and overall performance of the Division of Nurse Anesthetists. The position reports directly to the Associate Administrator of ACCM to ensure the smooth and efficient functioning of the division. In addition, this position will collaborate with department leadership in the administrative management of department wide clinical operations as needed.

DUTIES AND RESPONSIBILITIES

CRNA Division:

  • In collaboration with the Division Chief, directs day-to-day administrative, personnel, and financial operations of the Division. Provides advice and counsel to the division in order to make the most effective use of the department’s physical, human, and financial resources. Provides fiscal management of the divisional resources. Pro-actively establishes processes, metrics, and procedures to ensure compliance with government, hospital, and university policies.

  • Collaborates with ACCM Human Resources and finance to formulate and execute recruitment plans and activities. Facilitates recruitment and hiring. Participates in the interview process. Participates in coordination of credentialing and licensing procedures. Encourages team environment within the division to improve skills and communication. Promotes a culture of growth and development centered on achieving optimal services.

  • Collaborates with Division Chief in directing activities to improve staff performance, develop the organization and manage change. Develops metrics in conjunction with the Division Chief to monitor and improve performance. Manages, reviews, and analyzes the performance of the division on a monthly basis. In collaboration with the Division Chief, manages the process of performance reviews, including development of individual goals, learning needs, and establishing methods to implement the goals. Provides support and mentorship to the group of Lead CRNAs. Intervenes to facilitate any conflict resolution involving CRNAs. In collaboration with the Division Chief, takes appropriate disciplinary actions when necessary in accordance with JHU established policies and procedures.

In collaboration with the Division Chief and ACCM Human Resource Manager, establishes, updates, and maintains policies, procedures, and work rules.

  • Monitors the process of supplemental time submission, approval, and management for 85 CRNAs. Approves and monitors all sick, vacation, holiday, professional development, leave of absence, FMLA, etc. as requested by CRNAs. When needed, manages the progressive disciplinary process outlined under the JHU SOM clinical operations work rule. In collaboration with the Division Chief and the ACCM finance department, contributes to the development of fiscal year annual operating budget. In collaboration with ACCM finance department, ensures budget compliance for the division of CRNAs.

  • Represents CRNAs whenever indicated or requested by the University or Hospital.

  • Keeps Administrator of ACCM updated on divisional affairs through regular meetings and provides information about issues requiring attention. Collaborates with the Division Chief and the ACCM Human Resources Manager to ensure compliance with the University policies and procedures, as well as relevant Hospital regulatory and other policies/requirements. Works with Chief and Human Resources Manager to work through case-by-case interpretations of the school of medicine policies and ensure an equitable and transparent workplace. Works with Chief and Human Resources Manager to update division policies on an annual basis.
  • Actively participates in all CRNA committees and provides oversight and administrative direction with items such as the CRNA bonus structure and holiday operations including staff scheduling and time tracking. In collaboration with the Division Chief, participates/conducts monthly CRNA meetings, facilitator meetings, and Lead CRNA meetings.

Clinical Operations:

  • Provides direct management and oversight of the CRNA daily schedule and scheduling system to include one hospital: Johns Hopkins Hospital. Responsible for the nurse anesthetist scheduling functions according to the policies and procedures of the Department of Anesthesiology & Critical Care Medicine and based on an understanding of the complex environment and the clinical staffing needs of the ORs. Will plan and ensure clinical coverage and recordkeeping for administrative and financial accounting.
    • Scheduling 85 CRNAs at 75 anesthetizing locations per day per one hospital which is done on quarterly generation.
    • Weekly generation of schedule to include specifically assigning CRNAs to the specific 75 anesthetizing locations per day per one site. Daily management of inquiries, schedule requests, approvals, via e-mail from 85 providers as the schedule is constantly fluid. Daily management and updating of schedule to include call outs, add ons, shift swaps, etc. Participate in weekly Clinical Staffing meeting to include Vice Chair, Manpower Directors, Resident Director, CRNA Division Chief, and Division Chiefs. Recommends and implements best practices to encourage optimal staffing which also positively impacts staffing budgets.
    • Functions as a subject matter expert (SME) of SpinFusion, the ACCM clinical scheduling system. Serves as primary contact to work closely with SpinFusion team to implement best practices for clinical staffing optimization.
    • Partners with HR/Credentialing team and divisional contacts to add and remove providers from the scheduling system, and orient new providers to the department and their scheduling responsibilities.
    • Meets with new hires to provide tutorial on SpinFusion and E210 time tracking use.
    • Serves as back up to the individual tasked with the Physician Schedule.

Minimum Qualifications:

Bachelor’s degree in business, finance, accounting, science, or other related field required. Master’s degree in Healthcare Administration or related field preferred. Five years progressively responsible professional level administrative and financial experience related to monetary or non-monetary resources of a department, center or unit required. Deductive reasoning skills required.

Master’s degree in a related field my substitute for required experience and additional experience may substitute for education to the extent permitted by the JHU equivalency formula.

JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. Additional related experience may substitute for required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.

Physical Requirements:

Sitting, standing and walking for extended period. Reaching by extending hand(s) or arm(s) in any direction. Finger dexterity required to manipulate objects with fingers rather than with whole hand(s) or arm(s). Ability to move about the hospital or work environment.
