Job Summary

The assistant registrar for curriculum and scheduling is responsible for planning, coordinating and performing complex and specialized duties in the development of the university’s master schedule of classes and annual course catalog. This position serves as a lead resource for university-wide curriculum maintenance and provides support for all curriculum reviews and approval processes.

Essential Job Functions and Performance Indicators

Job Responsibilities

  • Coordinates with instructional areas to develop, publish and distribute the production calendar to build the schedule of classes, ensuring timeliness and compliance with university accrediting bodies and government regulations
  • Provides university staff with training and technical assistance related to the scheduling process
  • Manages the Early College Start/Dual Enrollment program, serving as a point of contact for students and parents


Service Orientation

  • Serves as a liaison between assigned parties, such as university employees, representatives of community and state agencies and public and other district officials
  • Establishes and maintains effective working relationships and communications with instructional areas and employees to facilitate coordination of schedule and catalog
  • Utilizes Student Information System (SIS) and applicable software to create and distribute schedule worksheets for review and revision by deans and department heads


Communication, Collaboration and Teamwork

  • Coordinates activities and communications related to the start of each term, such as faculty assignments, class additions, cancellations and room changes
  • Works with appropriate parties in resolving registration problems
  • Provides up-to-date information on curriculum, certificate and degree changes and new or revised codes
  • Coordinates with Information Technology (IT) regarding any technical or software issues in classrooms
  • Communicates with area school districts regarding enrollment processes, rules and regulations for the Early College Start/Dual Enrollment program


Planning, Organizing and Accountability

  • Enters data and runs validation reports to identify and resolve any worksheet or data entry errors
  • Works with Operations to ensure classrooms have the appropriate number of desks, tables, etc.
  • Works with administrators to ensure observation requirements are met for the Early College Start program


Initiative, Problem Solving and Decision Making

  • Provides information and answers questions regarding programs, services and requirements
  • Interprets and applies rules and regulations
  • Prepares final printer’s proof of the master schedule and audits it for completeness and accuracy

Required Qualifications – An equivalent combination of education, training and experience will be considered. Additional requirements may be designated by position.

  • Bachelor’s degree
  • Master’s degree preferred
  • Two or more years of student services experience within the field of higher education preferred


Knowledge, Skills and Abilities – May be representative, but not all inclusive, of the knowledge, skills and abilities necessary to perform the job competently.

  • Demonstrated ability to work effectively with individuals from diverse communities and cultures
  • Familiarity with Family Educational Rights and Privacy Act (FERPA) regulations and privacy laws governing higher education
  • Excellent communication and problem-solving skills
  • Ability to interact with university constituents in a professional manner
  • Highly organized and detail oriented
  • Knowledge of general office software, particularly Microsoft Office Suite


Work Environment – Environmental or atmospheric conditions commonly associated with the performance of this job’s functions.

  • Availability for commencement setup and ceremony required

  • Ability to rearrange classrooms to include movement of chairs
