Position Information

This is a full-time, permanent (probationary) position.

This is an 'On-Campus Only' Recruitment. Qualified applicants must be current employees of CSUDH.

Special Working Conditions: Ability to work until 7 pm in evenings or on weekends as needed by the academic departments.

Conditions of Employment

The salary range for this classification is: minimum $2,846 - maximum $5,148 monthly.

Major Duties

Under the general supervision of the Associate Dean of the College of Business Administration and Public Policy (CBAPP), the incumbent will perform a full range of general office administrative functions of a complex and difficult nature. The position requires coordination of a variety of tasks, set priorities, interpret different academic policies and procedures, and communicates effectively with faculty, students, staff and external constituents in the office or by telephone and e-mail. This position works in coordination with the other ASC to provide administrative support the the academic departments within the College under the leadership of the Dean's Assistant.

Qualifications

Required Education: High school program, technical/vocational program, or their equivalents

Required Experience: Several years of related office work experience, equivalent to three years.

Required Knowledge, Skills, and Abilities:

Knowledge of:
- Thorough knowledge of correct English grammar, spelling and punctuation,
- Thorough knowledge of modern office procedures, practices, methods, filling systems and record systems
- knowledge of proper customer service-oriented techniques;
- Standard computerized office systems and equipment.

Abilities to:
- Interpret and apply a variety of complex policies and procedures
- Perform multiple administrative work involving independent judgment, accurately and expediently,
- Follow and explain clearly established policies and procedures;
- Maintain confidentiality, be flexible, apply judgment, discretion and initiation in performing administrative work of above average complexity;
- Compose correspondence;
- Ability to develop and maintain cooperative working relationships, and operate standard office machines.

Skill in:
- Proficiency in the use of computerized office systems and word processing and spreadsheet software programs;
- Windows, MS Word, Excel and use of University data base system (People Soft).
- Skill in the use of general office equipment.

Responsibilities

35% - Provide moderate to complex administration support academic departments (four Chairs) to include but not limited to: taking minutes for academic departments or committees, providing reproduction/copying services for faculty, travel requests and claims, maintain shared folder files, disseminate course schedules for external usage, coordinate with scheduler classroom issues, coordinate with Dean's Assistant office space issues, maintain syllabi of courses scheduled for each semester by department, coordinate with bookstore textbooks and adequate numbers of desk copies for instructors. Process employee reimbursement forms and direct pay and maintain the required files, working with academic resource manager.

15% - Work on special projects as needed for the department Chair(s). Assist in monitoring the college website for errors or issues with links on behalf of the academic departments. Assist with posting information to social media sites.

15% - Assist in the design and marketing of college materials with Dean's Assistant. Assist in the preparation of designing materials for CBAPP display cases.

10% - Assist in coordinating various student events as advised/hosted by the faculty.

10% - Coordinate scholarship and honor societies application processes under supervision of Chairs or Faculty Advisors and Faculty committees.

5% - Serves as the college back-up time keeper (Dean's Assistant). College and reconcile time sheets as needed. Provides administrative support to the other academic departments in absence of their administrative staff.

5% - Assist in tasks related to CBAPP Accreditation activities.

5% - Other duties as assigned.
