Position Purpose

Provides administrative and box office support for the Department of Theater and Dance.

Key Accountabilities
  • Respect for diversity of identities and experiences, an orientation toward equity and inclusion, and cultural competency in all aspects of Academy life.
  • Provides administrative and clerical support to T&D department.
  • Assists in scheduling, reservations & management of CTD venues & program related spaces under Technical Director.
  • Assists in Course of Instruction edits, work-order maintenance, building monitor scheduling, and visitor management in consultation with Chair & Technical Director.
  • Attends and draft minutes for the department meetings.
  • Supports accounting for all departmental budgets, including all departmental billing, payments, and capital requests.
  • Accurately tracks expenses, processes and submits expense reports under Technical Director.
  • Screens telephone calls, emails, and processes mail for the department.
  • Obtains royalties and orders scripts for productions.
  • Prepares publicity in conjunction with Chair, Technical Director and play directors, including graphic specifications, design and layout of programs, posters, and email/digital notices.
  • Coordinates online ticket system and accounting of audience participation percentages.
  • Assists the Technical Director & Chair with updating department’s website and social media postings.
  • Filters, responds to, and sets up appointments for meeting and giving tours to interested applicants.
  • Provides front of house leadership for all Theater and Dance productions.
  • Sets yearly production schedule in conjunction with the Technical Director and Department Chair.

Frequent contact with students, PEA administrative and academic offices, faculty, and staff. External contacts may include parents, outside organizations, visitors and local community neighbors.

Position Requirements

Education

  • High School Diploma or GED required.
  • Bachelor’s degree preferred.


Experience

  • 5+ years’ administrative experience.
  • Experience in a theatrical setting preferred.
  • Experience working with adolescents in an educational setting preferred.


Skills & Knowledge

  • Independent decision-making and professional judgment in addressing student-related issues and personnel issues.
  • Strong interpersonal skills with ability to develop and maintain collegial relationships.
  • Strong proofreading skills required.
  • Proven strong presentation skills and presence.
  • Excellent communication (written and verbal) skills.
  • Demonstrated ability to work with students by building trust and credibility.
  • Excellent analytical and problem solving skills as well as a strong customer focus.
  • A strict adherence to confidential policies is required.
  • Ability to work independently and handle multiple priorities and deadlines simultaneously.
  • Proficient in MS Office.
  • Willingness and ability to learn additional applications as needed.
  • High degree of organizational skills with the ability to be flexible and multi-task with accuracy.
  • Ability to follow verbal and written directions, maintain a professional demeanor and restraint at all times, including stressful situations.

  3. Finger dexterity required to manipulate objects with fingers rather than with whole hand(s) or arm(s), for example using a keyboard.
  4. Communication skills using the spoken and written word.
  5. Ability to see with normal parameters.
  6. Ability to use a visual display terminal with continuous wrist movement on a keyboard.
  7. Ability to hear within normal range.
  8. Ability to lift and transport up to 10lbs without assistance.
Additional Requirements
  1. Successfully complete a criminal background check (reviewed every 5 years).
  2. Clean Driving record (reviewed annually).
