Position Summary

The Transcript Evaluator is responsible for complying with FERPA requirements regarding confidentiality of student information when interacting with students and parents. The position evaluates students’ transcript records in order to post accurate data to ensure complete academic records are maintained in appropriate databases.

Essential Job Functions of Position

• Post course information to transferring students’ transcript to establish complete academic record and that all academic transcripts are on file.

• Work with equivalency databases and standards to assess course information received from other institutions to identify course equivalents, verify general education requirements, and discrepancies.

• Research problems and initiate corrective action to restore accuracy.

• Post College Level Exam Program information, Advance Placement, Credit by Exam, Study Abroad and Military credits to student records as appropriate.

• Code new transfer credit articulation agreements with other institutions as approved by the faculty and Kansas Board of Regents ( KBOR ).

• Verify information received from prior learning liaison, has all university approvals and update appropriate system tables.

• Distribute and index documents into imaging program.

• Assist staff with End-of-Term grade processing and preparation for registration.

• Provide quality professional customer assistance to students, faculty, staff, etc.

• Perform office administrative support tasks. Scan and index documents.

• Cross-train with other staff in the department to learn other functions performed in the Registrar’s office to assist other areas as requested or appropriate.

• Perform additional job related duties as assigned or as appropriate.

Non-Essential Job Functions of Position

Education and Experience

• High school diploma, GED or equivalent.
• Three years’ experience working in a fast-paced office team environment completing large amounts of data entry with few to no errors while providing effective customer support.
• Experience auditing company or student records.
Preferred: An associate degree. Two years of work experience in a university Registrar’s, Admissions, Financial Aid office and/or work experience that involved working with a student records system.

Knowledge, Skills & Abilities

• Ability to communicate effectively and make complex decisions in accordance with established policies and procedures.
• Proven ability to interact tactfully with customers to resolve issues. Well-defined interpersonal and customer service skills in an office setting.
• Capable of multitasking and performing varied and detailed functions effectively in a fast-paced environment with frequent changes. Demonstrated attention to detail and accuracy.

Preferred: Understanding of college programs and degrees. Experience using a student information systems such as Banner, PeopleSoft or Jenzabar. Demonstrated experience using degree audit and/or transfer credit software such as Degree Works and TES, as well as experience producing diplomas using vendor supplied or other in-house processes. Ability to speak and understand Spanish.

This is a part-time permanent position.
