General Description of Position

Under the supervision of the Program Director, the Administrative Assistant I provides secretarial/clerical support for the program and staff, which serve college students who are first-generation, low-income pre-college or are experiencing disabilities. Work involves frequent contact with students, college staff and the community. Work responsibilities include data entry for maintaining and updating data base information and support programs, preparation of correspondence and reports, reception of visitors, assisting student inquiries, requisitions, filing, processing and distribution of mail, and handling telephone inquiries.

ESSENTIAL FUNCTIONS
Provide Support to the Director of TRIO Programs
Assists the Director of TRIO Programs with tasks related to student services functions such as preparing minutes from meetings and organizing meetings. Assists in the development and dissemination of promotional information to better inform the institution and community of project objectives. Assists in updating the SCC Web page in regard to TRIO information. Prepares correspondence, reports and program documents and/or responds to telephone inquiries as requested or assigned.

Record Maintenance
Enters, maintains/updates TRIO / SSS Program records, files and databases in compliance with federal regulations and to monitor program progress. Facilitates data entry for Annual Performance Report completion in partnership with the Director.

Assistance with Student Programming and Events
Assists with scheduling campus tours, workshops, cultural events and other TRIO activities. Assists with coordination of TRIO activities including correspondence, organization, preparation and marketing.

Operates Office Machines Operates: Personal Computer including laser printer and scanner; Fax Machine; Copy Machines; Calculator; Telephone with voice mail. Software: Student Access Database, Microsoft Word, Outlook, Access, Excel, PowerPoint; Internet; Colleague.

Minimum Qualifications

1. High School graduate or GED .
2. Two (2) years of clerical or secretarial experience or one (1) year office experience plus one (1) year related training.
3. Work experience effectively using word processing, database, spreadsheet and presentation software (i.e. Microsoft Word, Access, Excel and PowerPoint).

Desired Qualifications

1. AAS Degree in a post-secondary secretarial/office education program.
2. A valid Nebraska Driver’s License.
3. One (1) year experience working with federal grants.
4. Additional consideration given to individuals whose life experience includes surmounting barriers similar to those faced by TRiO SSS program participants.

Salary

$15.12/hr
