Xavier University, a Jesuit Catholic University is seeking applications for a full time position of Administrative Assistant II supporting the Xavier University Psychological Services Center, a training clinic staffed by faculty and doctoral students in the School of Psychology in partnership with the division of Student Affairs.
Responsibilities :
- Communication with clients, director, and staff/faculty of the clinic, as well as representatives from Student Affairs and the School of Psychology
- Triage calls and in person clinic inquiries
- Maintain the confidentiality of all privileged information
- Utilize electronic medical record to manage appointments and generate reports
- Manage document requests
- Budget administration
- Purchasing and management of clinic supplies and equipment
- Assist with onboarding new doctoral trainee staff
- Manage undergraduate work-study
- Update departmental websites
- Assist faculty with scheduling and billing for their clinical practices
- Other departmental duties as needed
Required Qualifications and Experience:
- High School Diploma or GED
- Three years of administrative experience
- Proficiency in Microsoft Word and Excel
- Excellent written, oral communication, and computer skills
- Detail-oriented and well-organized
- Ability to work independently on multiple projects
Preferred Qualifications and Experience:
- Experience in a mental health treatment setting where HIPAA compliance is required
- Experience with an electronic medical record (e.g., Titanium)
