General Summary/Purpose:

As part of the Healthful Eating, Activity and Weight Program (HEAWP), the Clinical Program Coordinator will complete patient scheduling using EPIC, obtain insurance pre-authorizations; coordinate patient care and appointments; assist with quality improvement and research projects and protocols within the program; manage the meal replacement inventory, payments, and patient distribution; and other duties as assigned that relate to this program. This position will also assist with patient registration and check-out as needed. This position will report directly to the Clinic Manager and indirectly to the Program Director.

Specific Duties & Responsibilities:

  • Collect patient clinical and treatment information from paper-based and electronic medical records, including processing of outside records
  • Obtain pre-authorizations for patient treatment and medications
  • Coordinate HEAWP patient appointments with multiple providers based on individualized care plan
  • Management of inventory, payments, and patient distribution for meal replacement products
  • Liaison to outside vendors (such as meal replacement product vendor) to facilitate purchases or service
  • Contribute to program outreach and promotional strategies
  • Management and maintenance of clinic-based testing (RMR, BIA, etc.). Complete patient testing on devices when indicated by clinical staff
  • Assist with coordination and materials management for group programs, including group visits, support groups, etc.
  • Assist with quality improvement and research protocols within the program
  • Communicate effectively and collaborate with clinical and administrative staff who are directly and indirectly involved in patient care delivery to achieve clinical goals in an efficient and effective manner
  • Proactively seek to improve or optimize program-specific work flows and collaborate with clinic manager and program director as appropriate
  • Acts as subject-matter expert for program scheduling protocols in Epic; liaises with Patient Access to address any concerns or areas for improvement
  • Create and edit correspondence to patients and outside providers
  • Respond to and triage phone calls from patients as well as internal and external providers and facilities
  • Complete patient registration and check-out needs for clinic appointments
  • Maintain compliance with HIPAA and ensure protection of patients’ personal health information
  • Operate personal computer to access e-mail, electronic calendars, and other basic office support software
  • Use various software applications, such as spreadsheets, to assemble program documents, reports, or tracking tools as required by program needs
  • Able to prioritize and work on multiple tasks with concurrent deadlines and utilize good time management
  • Take initiative and anticipate and respond to staff and patient needs based on awareness of routine and repeated job functions
  • Demonstrate and serve as a role model for a positive work environment, including high motivation, positive attitude, and good judgment, tact, and sensitivity in all interpersonal interactions with all providers, staff, and patients

Minimum Qualifications:

  • Bachelor’s degree required
  • Some related experience required, such as medical office coordination or medical assisting.
  • Additional related experience may substitute for required education, to the extent permitted by the JHU equivalency formula***.

Special Knowledge, Skills, and Abilities:

  • Excellent verbal and written communication skills required.
  • Must have the ability to work independently and manage multiple tasks
  • Must be detailed oriented.
  • Knowledge of medical terminology and experience in Epic scheduling and patient registration preferred.

***JHU Equivalency Formula:30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. Additional related experience may substitute for required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.

Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
