Faculty Support Services Coordinator, College of Business

Job Duties:
This full-time position will serve in a support role primarily providing administrative support assistance to faculty and students, as well as COB Visitors. These duties include, but are not limited to:

Operations Management- Faculty Travel
Provides Faculty Support for daily projects and initiatives including coordination of College of Business travel planning, special projects and assignments, including:
o Updating and requesting publication of marketing materials
o Arranging for travel and accommodations
o Assisting with purchase order and travel approval forms
o Providing assistance with presentations (PowerPoint, printed handouts, folder collation, etc.)
o Assisting with ordering, maintaining inventory, and gathering promotional items
o Providing and/or arranging for physical meeting room support
  • Assists with all College of Business meeting preparations (Department Chair Meetings, all Faculty/Staff Meetings, Board of Visitors Meetings, Adjunct Orientations, Graduate Program Orientations, etc.)
  • Assists the Faculty with document retention and maintaining a database for documents, such as:
    o Leave Requests
    o In-State and Out-of-State Travel Request Forms
    o Reimbursement Forms
    o Purchase Orders
    o Change of Grade Forms
    o Directed Studies
    o Recommended Overload Forms
    o Request for Final Grade Appeals
    o Office Assignment/Relocation Requests
    o Curriculum Adjustment Forms
    o Curriculum Review Requests
  • Acquires and maintains the inventory of all College of Business supplies, equipment, promotional/marketing items
  • Coordinates the procurement of University cars for College of Business faculty and staff for business-related travel

    Project Management
  • Oversees course textbook process from initial book order submission through final Bookstore purchasing and requisition. Maintains established partnerships with selected textbook publishers
  • Facilitates all Faculty and Staff Office assignments and relocations, as necessary

    Supervisory Responsibilities
  • Works with College of Business Faculty Advisors for various College of Business student organizations in the facilitation of event planning, record management, membership processing, and correspondence
  • Manages the Curriculum Review Process within the College of Business and acts as liaison between the Registrar's Office and Academic Affairs
  • Tracks all preventative maintenance needs and coordinates repairs for the College of Business technology inventory
  • Serves as primary supervisor for College of Business Student Work Study position(s) and is responsible for scheduling, training as needed to complete essential assignments, and approval of related timesheets

    Other Duties
  • Serves as main point of contact reception for College of Business visitors
  • Serving as College of Business Accessibility Coordinator to serve as liaison between faculty and department chair to track/manage needed accessibility updates and enhancements
  • Distributes daily mail to all College of Business Faculty and Staff
  • Maintaining marketing materials and replacement/updates of visual displays. Assisting with record management/retention (copying, scanning, filing, data entry, storage, shredding, etc.)
  • Assisting with ensuring the physical building and displays are kept current, neat, and professional
  • Assisting in maintaining inventory and organization of workroom equipment and supplies as well as promotional/marketing materials for the College of Business
  • Schedules, supports, and coordinates with internal and external entities who request use of conference rooms
  • Maintains workroom equipment and supplies
  • Demonstrates flexibility and adaptability to changing work scope and tasks based on need
  • Actively works towards building cooperative and collaborative relationships with peers
    and internal faculty and staff
  • Maintains “open door” to internal and external customers.
  • Identifies opportunities for improvements to work practices and offers viable solutions for implementation
  • Proactively engages in problem solving related to tasks in this position with internal and external people
  • Routinely practices self-monitoring by assessing self to make improvements or take corrective action to improve performance
  • Performing other duties as directed by the College of Business Dean or Graduate Support Services Administrator & Employer Talent Development Coordinator, and all other duties as assigned

    Required Qualifications:
    • High School diploma or its equivalent required, Bachelor’s degree, preferred
    • Positive and approachable demeanor, excellent customer service skills
    • Excellent oral and written communication skills (telephone, email, personal contact)
    • Proper telephone and email etiquette
    • Demonstrated history of exceptional problem solving skills
    • Excellent Organizational Skills
    • Proficiency in the use of Microsoft Office Suite (especially Excel)
    • Knowledge of Banner (preferred)
    • A team player, but also able to work under own supervision for more tedious tasks
    • Takes the initiative to perform a task prior to being told (self-starter)
    • Experience in using Banner and Excel preferred
    • Experience in working with SACS and ACBSP accreditation preferred
    • Experience with database software and Argos preferred

    Salary Schedule:
    Salary band: N120,
