Position Purpose: The Administrative Assistant for Health Services/Counseling and Psychological Services (CAPS) supports learning by providing administrative support and office management for these areas.

  • Essential Job Functions:

  • Greet and check-in students who present to Health Services or CAPS. Manage students who may present with high levels of physical or mental distress, in particular students expressing suicidal ideation, panic, or psychotic symptoms.
  • Utilize EMR software for scheduling appointments, processing client paperwork, and scanning/filing of non-clinical documentation.
  • Monitor health Services and CAPS email for appointment and scheduling communications from students, and receive and direct calls as needed.
  • Provide administrative support related to clinical and outreach preparation, drafting correspondence, preparing reports, ordering supplies and basic budgetary tasks (e.g., purchase orders, etc.).
  • Work with counselors to determine when clinical triage might be required immediately, to ensure students in crisis have timely access to mental health services.
  • Assist with special projects as needed.


  • Essential Job Requirements:

    Education:

    • High school diploma. Some college preferred (Associate or Bachelor degree).


    Experience:

    • One to three years’ experience providing administrative support, preferably in health care or counseling organizations.


    Skills:

    • Strong verbal and written communication skills are essential.
    • Ability to manage multiple responsibilities, in a fast-paced work environment, with a high degree of independent organization, communication, and ethical practice.
    • Comfortable working with students seeking physical or mental health treatment, and the ability to develop strong collaborative working relationships with Health Services and CAPS.
    • Professionalism, maturity and discretion are critical in order to handle sensitive and confidential information.
    • Ability to interact with a diverse group of faculty, staff, students and parents; and develop strong working relations with colleagues, staff, administrators.
    • Strong proficiency with Microsoft Office applications. Able to learn/utilize other software applications as needed.


    Physical Requirements:

    • Ability to move about campus, and spend long periods of time at a computer work station.
