This position serves as the Program Coordinator for the Boots to Business and the Entrepreneurship and Small Business programs. The coordinator will also support in the planning and execution of the education programs within the Arsenal portfolio to include Boots to Business which is a partnership between IVMF and the SBA, and hosts on average 115 workshops a year overseas on 35 bases in 9 countries.

Qualifications

• Bachelor’s degree preferred.

• Minimum three (3) years training management experience.

• Excellent organization, planning, and project management experience.

• Experience in event management or training environment.

• Experience working with veterans and/or military families.

• Experience in CRM /database management (experience with Salesforce preferred).

• Prior service in the United States military preferred.

Job Specific Qualifications

• Excellent verbal and written communication skills, including planning and organizing training.

• Familiarity with small business programs and services for transitioning service members and families, veterans, veteran families.

• Basic database knowledge (preference given to candidates with Salesforce experience).

• Utilization of existing technologies to facilitate virtual collaboration and delivery.

Responsibilities

Boots to Business OCONUS coordination to include

• Maintain a real time listing of installation points of contact in 35 locations in 7countries.

• Maintain, and monitor a centralized class request system for installation POC’s, for an average of 120 classes per year.

• Provide workshop cost and attendance data to the Project Manager in order to establish class frequency.

• Input classes into the SBA Salesforce system; upload class rosters and instructor information.

• Research, evaluate and implement cost savings through the coordinating of location timing and instructor travel; minimizing instructor travel times and distances.

• Provide travel agency with applicable schedule of workshop dates and coordinate the communication between travel agent and the instructor.

• Review and approve all travel in accordance with US Code, SBA guidelines, and Syracuse University travel policies.

• Complete base access passes; coordinate with Syracuse Risk Management for country clearance documents.

• Respond to questions and concerns from POCs/instructors prior to workshops.

Assist with general logistics of IVMF Arsenal training programs to include

• Assist with the planning and execution of Veterans EDGE training program
Collect and organize hotel RFPs for core events team to review.

• Assist with hotel logistics to include rooming lists and space needs.

• Provide communications team with material to be used for social media; provide related backstory, IVMF connection and suggested social media tactics.

• Assist in hiring and managing duties to student workers, track progress and ensure quality of delivery.

Responsible for delivering exceptional participant experience, responsibilities to include

• Communicate with all program participants to ensure engagement and understanding of program logistics and requirements.

• Field general program inquiries and provide appropriate programmatic information that is pertinent to the request(s).

• Provide future class dates and contact information to prospective program participants.

• Answer eligibility questions, directing prospective participants to appropriate programs.

• Provide program alternatives to inquiries when needed.

Assist Arsenal Team with budget management, responsibilities to include

• Create and maintain a real-time expense tracking system for all program(s) expenses, and projected expenses, in real time.

• Review and create expense reports from instructor/ speaker submissions for travel reimbursement.

• Analyze instructor/ speaker expense reports to ensure they comply with grant guidelines, Syracuse University policies, and federal regulations.

• Submit all instructor/ speaker/ vendor payments for services rendered.

For B2B

• Complete and document all currency exchanges using the identified exchange rate source.

• Database Management- maintain an extensive database of instructor travel records, consisting of over 115 trips per year.

• Provide a real-time cost projection for OCONUS classes for the entire grant year, that fluctuates with schedule changes.
