General summary/purpose:

This position supports the newly-created Wilmer Genetic Eye Disease (GEDi) Center. Johns Hopkins is one of a few institutions in the country that has very strong centers of excellence for both ophthalmology and genetics. Over the past 1-2 decades, there has been huge advancements in the field of genetics and opportunities for therapeutic intervention. Wilmer is seeking to capitalize on this opportunity and propel Johns Hopkins to the forefront of this field with the creation of the new Wilmer GEDi (pronounced “JEDI”) Center. The GEDi Center has a tripartite mission. From a clinical care perspective, the Center aims to become a leading clinical-surgical treatment center for FDA-approved ocular gene therapy; it is building a multidisciplinary genetic eye care team including a centralized Genetic Counselor service for all Wilmer physicians; and it plans to provide better coordination of referrals for patients with genetic eye diseases at an institutional, state, national and international level. From a research perspective, the Center aims to become a major center for genetic eye disease clinical trials and new gene discovery. Aside from advancing biomedical research, additional advantages include bringing in significant funding, use of new advanced technologies, improving skills of Wilmer technical staff, and national recognition as a center of excellence for genetic eye disease research and treatment. Form an education perspective, the Center wishes to increase awareness of genetic eye diseases and treatment options by developing novel online educational content, hosting an annual GEDi conference, and providing research fellowships to visiting trainees to enhance the acquisition and dissemination of genetic eye disease knowledge far beyond Johns Hopkins and the U.S.

The position’s primary role will be to provide research and administrative support for the Center and the Center’s Co-Directors. Will coordinate the daily operations of the Center to ensure the Center’s daily activities, weekly meetings and annual conference(s) run smoothly. Will work closely with the Sr. Research Program Coordinator II to coordinate and implement ongoing and new clinical trials. Provides technician support and performs specific testing in clinic for both adult and pediatric patients with genetic eye diseases.

Specific duties & responsibilities:

Clinical Trial Assistant Role (40%): Specific Duties/Responsibilities:

  • Help enroll and follow patients in clinical trials for Wilmer GEDi Center. Conduct eligibility screenings for potential study participants. With physician consultation, obtain informed consent from study participants. Coordinate patient care and visits based on study protocols. Perform ophthalmic technician activities: lensometry, refractometry, tonometry (applanation or pneumo), contrast sensitivity, and vision testing.
  • Perform accurate and timely data collection on source documents and case report forms. Ensure proper labeling and delivery of photographs, scans and laboratory specimens. Monitor study participants for adverse events. Provide follow up of patients regarding side effects, medical history questions and information relative to conduct of clinical trials. Help communicate all necessary information to sponsors and IRB. Provide information regarding clinical trials for patients and families, referring physicians, faculty and staff. Assist principal investigator with preparation of study documents and budgets required for study approval and renewal.   • Technician Role (20%): Specific Duties/Responsibilities:
  • History taking, including obtaining and concisely recording an accurate patient history, including chief complaint, past ocular history, family history, systemic illnesses, medications, allergies and drug reactions, and social history.
  • Basic clinical skills: measure visual acuity at distance and near utilizing test appropriate for age and education, and records accurately, perform pinhole testing when indicated, perform and record contrast sensitivity, perform Ishihara or HRR color vision testing, accurately measure and record current lens power with a lensometer, perform and record exophthalmometry, perform and record Amsler grid, perform and record Schirmer testing, evaluate pupillary reactions, including afferent pupillary defect, estimate anterior chamber depth, perform Goldmann, Tonopen and I Care tonometry.
  • Testing skills: Operate common non-automated and automated ophthalmic equipment including, but not limited to: IOL Master, Orb-scan, bright field acuity testing (BAT), potential acuity meter (PAM), autorefractor, corneal pachymetry, Humphrey visual field, Goldmann visual field, OCT, and Lenstar.
  • Patient Services: Apply proper ocular dressings and shields, follow divisional protocols for eye drop instillation, including cycloplegics and topical anesthetics, properly instill eye drops, label newly opened bottles with expiration dates, understand the indications / contraindications for use in dilation, measure interpapillary distances, evaluate spectacle fit, properly assist physically or visually disabled patients, adhere to regulations regarding drug samples and drug sample logs, facilitate timely flow of patients from screening to exam rooms.
  • Instrument Maintenance: perform routine instrument maintenance on all ophthalmic equipment, stock examination rooms in assigned area and ensure medication expiration dates are current, disinfect and maintain examination rooms, collect and prepare instruments for transport to sterilization center.
  • General Medical Knowledge: maintain current CPR certification, understand basic ocular anatomy and physiology, systemic diseases, ocular diseases and ocular emergencies, understand and practice the fundamentals of microbial control.
  • Complete currently required JHMI courses, such as self-learning educational packets, HIPAA regulations, Conflict of Interest, complete Annual Review paperwork in a timely manner. Complete training in software such as Epic, POE, TAP, Forum, Oculab, All scripts. Assist physician chair side as a scribe.
  • Additional duties and responsibilities: surgical assisting with minor outpatient procedures; basic instrument care, perform basic slit lamp evaluation, perform protocol refractometry or other testing for clinical trials, instruct patients in contact lens care, insertion and removal, facilitate/route patient medication refills, other duties that may be assigned.

Administrative Coordinator Role (40%): Specific Duties/Responsibilities:

  • Assist with coordinating the planning of the new Wilmer Genetic Eye Disease (GEDi) Center events as required.
  • Submit employee and non-employee reimbursement requests via SAP.
  • Scheduling and coordinating the daily, weekly, monthly, and annual appointment calendars for the GEDi Center Co-Directors, and ensuring they are prepared for meetings and presentations by compiling and preparing materials and confirming details in advance.
  • Travel arrangements as needed for the GEDi Center Co-Directors.
  • Coordinate the itineraries and agendas for speakers and guests visiting the GEDi Center.
  • Exercise independent judgment to rank and prioritize meeting requests and timelines.
  • Transcribe, edit, finalize, and mail correspondence for the GEDi Center Co-Directors; create spreadsheets; prepare graphs, charts, and other documentation as needed for presentations.
  • Triage phone calls and mail and independently resolve GEDi Center matters that do not require the Co-Directors direct attention.
  • Prioritize phone messages, fielding and directing calls coming into the office.
  • Manage room reservation requests for Conference Rooms, ensure teleconference connection is establish, and set up audio and visual equipment as needed.
  • Maintain strict confidentiality of all documents, files, and human resources information.
  • General administrative duties to include, but not limited to scanning, copying, sorting mail, office and kitchen supplies, triaging phone calls, and greeting and assisting visitors.

Minimum Qualifications: (mandatory)

  • Bachelor's degree in related discipline.
  • Some related experience.

Additional education may substitute for required experience and additional related experience may substitute for required education, to the extent permitted by the JHU equivalency formula.

JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. Additional related experience may substitute for required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job

Preferred Qualifications:

  • Ophthalmology technician experience for at least 1 year.

Special knowledge, skills, and abilities:

  • Mathematics: able to add, subtract, multiply and divide in all units of measure, using whole numbers, fractions, decimals, addition and subtraction of positive and negative numbers.
  • Language: able to comprehend simple instructions and short correspondence.
  • Able to create simple correspondence.
  • Able to effectively present information in one-on-one and small group situations to patients and other employees.
  • Reasoning: able to comprehend and execute instructions.
  • Able to manage situations with more than one variable
  • Familiarity with the operation of computers.

  • Proficiency in MS Word, Excel spreadsheets, Access Databases, PowerPoint, electronic calendar, and transcription.
  • Excellent spelling and grammar.

  • Ability to handle multiple complicated tasks, prioritization skills.
  • Ability to operate PC, laser printer, fax, copier, shredder and multi-line phone.

Technical qualifications or specialized certifications:

  • Must have or obtain Certified Ophthalmic Assistant (COA) from Joint Commission on Allied Health Personnel in Ophthalmology (JCAHPO) within 18 months of start date.
  • Must maintain certification while employed at Wilmer. Failure to obtain/maintain certification may result in termination of employment.

Any specific physical requirements for the job:

  • Must be able to remain in stationary position for 50% of the time.
  • Ability to move about to escort patients to the exam rooms and different departments, gather and replace supplies, and stock rooms.
  • Constantly positions self to adjust ophthalmic equipment in order to perform exams.
  • Manipulate extremely small objects.
  • The person in this position frequently communicates with patients.
  • Able to exchange accurate information in these situations.
  • Ability to safely utilize various types of Ophthalmic Equipment to directly contact the patients’ eye.
  • Occasionally lifts and transports supplies up to 20 lbs.
  • Concentrate on instruments and other visual stimuli.
  • Observation of and rapid reaction to changeable situations.
