Job Description

The W. P. Carey School of Business Graduate Programs office is looking for a self-starter who is service oriented, dependable, and displays sound judgment.  This position will provide administrative, operations and customer service support for Financial Services within the W. P. Carey School of Business.  The Financial Services Coordinator should have strong verbal and written communication skills, strong analytics skills, keen attention to detail, administrative and customer service experience, as well as a strong interest in student financial aid.  This position is responsible for providing a high level of customer service when responding to student financial aid and billing inquiries.  This position is also responsible for performing a variety of administrative tasks necessary to support operations of Student Financial Services and Admission Operations within the Graduate Programs Office, as needed.  This position reports to the Associate Director of Student Financial Services. 
 
This position is based at ASU’s Tempe Campus.  Due to COVID-19, all recruitment staff (as of this posting date) are working remotely.  When safe to do so, staff will return to working on campus.  Training for this position may occur remotely. 

Essential Duties

  • Counsel and advise students about financial aid eligibility, application procedures, funding options, costs, indebtedness--individualizing information to the particular needs and situation of the student
  • Work closely with internal partners—Financial Aid, Student Accounts, Accounting and Development Office to resolve student concerns
  • Provide daily administrative support for Financial Services, such as creating and sending scholarship award notifications, updating communication templates, monitoring and updating databases and other duties necessary to support the department
  • Assist in the development of financial aid collateral for prospective students
  • Collect and/or analyze student data to assist in the awarding scholarships within state, institutional and donor guidelines
  • Assist in the development and presentation of information regarding program costs and financial aid options to prospective students during admission outreach activities
  • Post scholarships and other financial aid awards to student accounts; compiles supporting documentation for approval
  • Provide a high-level of customer service in all forms of correspondence with students, as well as internal and external partners
  • Generate and analyze various system-generated reports to assist in the budgeting, awarding and reconciliation of institutional funds
  • Provide customer service demonstrated through actively listening, acknowledging, and responding to every inquiry; taking ownership and resolving each concern or problem as appropriate; exhibiting professionalism and expertise in every interaction and engaging in professional development to meet expectations for service excellence. 
  • Support administrative functions for the Admission Operations team including but not limited to responding to applicant inquiries, updating Salesforce data and reviewing of applications for accuracy and completion. 
  • Minimum Qualifications

    Bachelor's degree in a field appropriate to the area of assignment AND three (3) years of related experience; OR, Any equivalent combination of education and/or experience from which comparable knowledge, skills and abilities have been achieved.

    Desired Qualifications

  • Evidence of a Bachelor's Degree
  • Demonstrated knowledge of government, donor and/or institutional rules, regulations, guidelines, and procedures for awarding of financial aid. 
  • Demonstrated knowledge of federal Title IV financial aid programs, awarding eligibility requirements and supporting regulations. 
  • Experience in providing student financial services support 
  • Experience in working in a higher education environment. 
  • Demonstrated knowledge of Family Educational Rights and Privacy (FERPA) requirements. 
  • Evidence of effective written and verbal communication skills. 
  • Experience with Microsoft Office Applications ( i.e., Word, Excel, Access, Outlook, data query, PowerPoint) 
  • Experience in stimulating changes in individual, institutional, and corporate behaviors to create a more sustainable environment. 
  • Experience in leading by example in communicating, participating and encouraging support of the institution’s and department goals. 
  • Experience in working cooperatively as part of a dynamic, fast-paced, rapidly evolving team. 
  • Experience in critical thinking and problem solving. 
  • Working Environment

  • Activities are performed in an environmentally controlled office setting, and are subject to extended periods of sitting, keyboarding, and manipulating a computer mouse
  • Standing for varying lengths of time and walking moderate distances to perform work
  • Lift up to 25 pounds
  • Regular activities require ability to quickly change priorities, which may include and/or are subject to resolution of conflicts.
  • Communicates both verbally and in writing when performing essential functions
  • Use standard office equipment such as computer workstation/laptop (keyboard, monitor and mouse), printer, fax, calculator, copier, telephone and associated computer/technology peripherals
