Position Function

The university Registrar is the senior leader of the Office of the Registrar reporting to the Vice President for Enrollment Planning and Management. This position supports the academic enterprise, advancing academic initiatives and creating an administrative structure that promotes student success while maintaining a focus on student service. This position is responsible for the integrity and accuracy of the student academic record and consult with other campus officials to develop, revise, and administer registration and enrollment procedures. This position also serves as the campus compliance officer for the Family Educational Right to Privacy Act ( FERPA ) and the steward of University policies and processes related to the support of academic units.

This position is responsible for all functions of the Office of the Registrar including: creation, maintenance and long term retention of student academic records; the development of term courses, schedule of classes and the updating and maintaining the Smart Catalog; the curriculum proposal process and systems, the certification of enrollment and reporting to the Department of Education; the monitoring and verification of degree progress, auditing and final degree clearance and the preparation of diplomas and official transcripts; the monitoring of student academic standings; the enforcement of all academic regulations; the distribution of student record data to academic and administrative units; the collection of enrollment data for analysis and reporting needs; and assisting with commencement activities.

Minimum Education

Master’s degree in education or related field from an accredited college or university.

Minimum Experience

Eight years of progressive experience in a leadership position within a university Registrar’s Office.

Minimum Other

Excellent critical thinking and interpersonal skills, including tact, diplomacy, flexibility; excellent verbal and written communication skills; ability to establish and maintain effective and collaborative working relationships with other administrators, instructors, students, other educational institutions officers, government agencies and the general public. Outstanding organizational skills and the ability to coordinate systems and processes while engaging other stakeholders.

Authorization to work in the US

Candidates for searches must have current authorization to be employed in the U.S. without employer sponsorship.

Preferred Education

Master’s degree in higher education or related field from an accredited college or university.

Preferred Experience

Five years of experience as a registrar working in an enrollment management environment at a mid to large size university. Experience using Banner Student Information System.

Preferred Other

Knowledge and expertise in managing a student information system; knowledge and expertise in process review and improvement.

Requires successful completion of a background check and education verification.

Duties & Responsibilities



Job Duty

Serve as the senior leader of the Office of the Registrar and member of the Enrollment Planning and Management leadership team, reporting to the Vice President for Enrollment Planning and Management. Provides leadership, vision and strategic direction for Academic Systems, and Registration and Records staff in all aspects and functions of the Office of the Registrar.



Job Duty

Ensure the integrity and accuracy of the student academic record, while consulting with other campus officials to develop, revise, and administer registration and enrollment procedures.



Job Duty

Update and publish the annual Smart Catalog as well as term courses and the schedule of classes.



Job Duty

Serve as the campus compliance officer for the Family Educational Rights to Privacy Act ( FERPA ); working closely with campus partners to ensure appropriate FERPA training and security of data and protection of sensitive and personally identifiable information.



Job Duty

Provide leadership, expertise, and training that ensures compliance with the Family Education Rights and Privacy Act ( FERPA ); as responsibilities pertain to student athletes, show commitment to and responsibility for adherence to all rules and regulations of the university and the NCAA .



Job Duty

Develop appropriate systems solutions to improve daily Registrar functions and the student experience related to registrar functions (such as course registration, self-monitoring of degree progress, transcript requests, enrollment verification requests and graduation requirement checklist completion and application) in collaboration with academic advising and other campus partners.



Job Duty

Devise proactive initiatives, using data and systems to assist in the overall effort to improve retention and graduation rates and reduce achievement gaps in collaboration with Student Affairs and Academic Advising.



Job Duty

Oversee classroom scheduling and space utilization in coordination with college representatives.

Ensure compliance with federal record retention and reporting requirements through the National Student Clearinghouse.

Create and maintain an environment that promotes diversity, equity, access, and inclusion.

Supervise, train, manage and evaluate staff; manage annual operating budget for area.

Serve as a member of the Enrollment Planning and Management leadership team assisting the division in achieving short and long-range strategic enrollment goals.

Collaborate with Academic Affairs and Admissions colleagues in implementing course articulation agreements to improve transfer student process and experience.



Job Duty

Oversee NCAA certification of incoming student-athletes entering the University’s various Division 1 interscholastic sports programs.
