General Summary/Purpose

The Program Administrator will support financial and communications operations for the Global Early Adolescent Study, a ten-country global longitudinal research project that examines the relationship between gender norms and health across the adolescent years. The GEAS will also examine the impact of gender-transformative interventions on adolescent health and well-being. The Program Administrator will serve the critical role of working with domestic and international partners to support financing of new and evolving research projects. In addition, they will work to maintain and build connections both among GEAS collaborators and with global stakeholders.

Specific Duties & Responsibilities

  • Assist with reporting and tracking requirements for GEAS grants (domestic and international)
    • Collect and organize needed input from study sites
    • Remind and follow up with team members
    • Work in partnership with financial manager to
    • draft budget justifications
    • assist with tracking grant requirements
  • Lead meeting and event planning and coordination
    • Develop and maintain registration systems and lists for online and in person events
    • Identify and reserve meeting space; process contracts
    • Support visa applications for GEAS partners and the Hopkins Coordinating Center staff
    • Facilitate hotel arrangements and work with travel agent on flights
    • Process expense reimbursements
    • Participate in logistic planning and support
  • Work with GEAS faculty and staff to develop communications materials, including:
    • PowerPoint presentations for national and international meetings, calls, webinars, and meetings
    • Website maintenance and updates
    • Dissemination of announcements for GEAS-sponsored events
  • Participate in preparing new grant applications
    • Assist with literature reviews
    • Obtain needed material and information from GEAS Partners
    • Organize planning meetings and calls
    • Work with finance manager on budget
    • Proofread applications prior to submission
  • Assist with other GEAS tasks as needed
    • Maintain and organize GEAS list-serves for targeted mailings
    • Maintain a schedule of GEAS events
    • Assist with scheduling biweekly calls
    • Organize electronic storage of all study materials
    • Ensure software subscriptions are maintained and up to date
  • Minimum Qualifications(Required)

    Bachelor’s degree required.

    • Three (3) years administrative related experience.

    Additional education may substitute for required experience, to the extent permitted by theJHU Equivalency Formula:18 graduate degree credits may substitute for one year of experience. Additional related experience may substitute for the required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job. *

    Preferred Qualifications

    Master’s degree

    • SAP experience/Financial Transaction Processing
    • Website maintenance
    • Experience with research projects

    Special Knowledge, Skills, and Abilities

    Ability to work independently and use reference manuals to develop proficiency with software or computer systems

    • Good organizational, written, and verbal communication skills
    • Good interpersonal skills in dealing with a variety of constituents including faculty, staff, students, international partners, and funders
    • Able to effectively prioritize and work on multiple tasks with concurrent deadlines and demonstrate excellent time management skills and efficiency.

    The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
