The Director of Administration will report directly to the Senior Vice President and Chief Human Resources Officer, who oversees The Office of Human Resources; Equal Opportunity, Inclusion, and Resolution Services ( EOIRS ); The Early Education Child Care Center ( EECCC ); and The Bernice M. Wright School ( BMW ). This position is responsible for managing the efficient operations of the SVP /CHRO’s portfolio, including budget management; the development, implementation, and monitoring of all department initiatives, strategic priorities, and special projects; liasoning on behalf of the SVP /CHRO’s’s direct report areas to ensure effective scheduling, event planning and execution; and proactive and responsive administrative support for the office. The Director of Administration will work closely with the SVP / CHRO to manage critical issues; prioritize initiatives; and monitor progress toward departmental and University strategic goals. This position requires experience with budget, operations, strategy, communications and executive administrative duties and skills.

Qualifications

• Bachelor’s degree or equivalent.

• Experience must include a minimum of 5 years of experience as a top-level executive assistant.

Job Specific Qualifications

• Expert level of problem solving skills, research and data gathering ability, analytical skills, ability to read and interpret documents, negotiation skills, organizational skills, and verbal and written communication skills.

• Ability to negotiate in highly technical situations and the ability to prioritize tasks and manage multiple projects.

• Excellent proofreading ability along with advanced knowledge and application of Microsoft Office.

Responsibilities

• Represent the Sr. VP/ CHRO in the University community and external constituents. Interact with all levels of the University including but not limited to the Chancellor and Executive Team, Trustees, Deans and Department Heads and Faculty.

• Support the Sr. VP/ CHRO in his correspondence with, and coordination of, individuals on campus engaged in initiatives led by all departments in the Sr. VP/ CHRO portfolio. Provide executive level administrative leadership and professional support in a highly confidential area using discretion and independent judgment.

• Support the SVP’s Leadership Team in scheduling and preparing for meetings, conferences and general administrative logistics.

• Collaborate with individuals on campus and external advisors to record, track, and report on progress related to various initiatives overseen by The Office of Human Resources; Equal Opportunity, Inclusion, and Resolution Services ( EOIRS ); The Early Education Child Care Center ( EECCC ); and Bernice M. Wright.

• Evaluate and actively resolve problems on own where applicable and redirect or handle phone calls and inquiries at own initiative as appropriate; able to identify goals and priorities and resolve issues in initial stages.

• Provide oversight, management, and coordination for the budget. Functional responsibilities include oversight for establishing and maintaining financial processes for all budget related items including all non-benefit related payments, procurement of office related items, and material orders. Keep informed of and comply with University policies and procedures in all matters pertaining to budgets and financial management. Establish and maintain fiscal efficiencies related to office expenses, technology and telecommunications. Manage and coordinate daily office operations including projects and staffing. Also includes calendar and meeting coordination, travel arrangements, and other necessary organizational activities. Process incoming and outgoing mail, paper and electronic; respond or route to appropriate person(s), departments, colleges and schools, or other operating units; track delegated items as needed.

• With the benefit of extensive knowledge of the University; analyze complex confidential information; respond to inquiries and requests for information from variety of constituencies including – written draft correspondence, memorandums, summary analysis, reports and presentations; and provide advice and assistance to SVP and other University leaders as appropriate. Examples of required draft reports and presentations include meetings of Executive Team, Chancellor’s Council, University Leadership Team and Board of Trustees. Review documents for accuracy and inclusion of necessary information before final review by the Sr. VP/ CHRO .

• Manage and coordinate daily office operations including projects and staffing. Also includes SVP calendar and meeting coordination, travel arrangements, and other necessary organizational activities. Process incoming and outgoing mail, paper and electronic; respond or route to appropriate person(s), departments, colleges and schools, or other operating units; track delegated items as needed.

• Collaborate with other members of the SVP’s Leadership Team to develop strategic communications to campus, university leaders and other identified groups.

• Represents Sr. VP/ CHRO by facilitating all office needs in his absence; speak on behalf of the Sr. VP/ CHRO when appropriate and keep Sr. VP/ CHRO abreast of all dealings. Apply expert knowledge of University concepts, practices, and procedures to achieve objectives.
