Overview
Overview Employment Status: Full-time (40 hours a week), temporary "non-exempt" benefited position through June 30, 2021 (with the possibility of a one-year renewable appointment based on availability of work, availability of funds and satisfactory job performance).

Salary: $4,853.00 - $6,067.00 per month

Work Schedule: Monday to Friday from 8:00 a.m. to 5:00 p.m. Incumbent must be able to participate in remote or on campus work depending on the directives from the CSUSB campus.

Typical Activities
Typical duties may include, but are not limited to the following:
To manage the activities of the Center of Academic Excellence (CAE) by maintaining the CAE Community Website; preparing end of the year and budget reports; grant writing; administering, collecting, and preforming analysis on surveys; maintain and update a database on members of the CAE Community; poll community members for needs and attempt to address them with resources and workshops; mentoring other CAE programs; fostering partnerships with junior colleges and high schools; travel as necessary to meet with agency representatives and CAE Community leaders; attend annual CAE meetings and other conferences to engage CAE members in activities; speak at conferences about CAE conferences about activities and upcoming events; and to perform other duties and services, as assigned.

  • Liaison with the CAE-C Program Office, CAE National Centers and Regional Hubs, and the CAE in Cybersecurity Community to plan and develop scope, deliverables, required resources, and new initiatives; travel as needed
  • Strategize, implement, and maintain program initiatives
  • Develop program assessment protocols for evaluation and improvement
  • Maintain organizational standards of satisfaction, quality, and performance
  • Oversee multiple individuals, ensuring program goals are achieved
  • Review reports, records, and other documents, per assigned area, for clarity, completeness, accuracy, timeliness, and issuing agency
  • Collect and evaluate information for quarterly reports; ensure that regulations and guidelines for reports are met
  • Prepare, processes, and forwards reports and/or documents to the grant sponsor
  • Prepare charts, reports, instruction manuals, audio-visual material for the purpose of mentoring other CAE members
  • Works with the regional coordinator to facilitate workshops, online and in-person meetings, and other events as needed
  • Conducts or assists with training sessions/workshops
  • Provide technical information and guidance on CAE Community membership and participation
  • Accepts, audits, reviews, secures, and maintains the CAE Community files
  • Prepare and assist in dissemination of material for publications, translation, typesetting
  • Maintain and manually and/or electronically updates a variety of data for specific assignment
  • Resolves technical problems to improve procedural methods, equipment performance, and quality of product for specific area assigned
  • Assist and participate in special research, studies, surveys, and investigations; assist and participate in the compilation, tabulation, and analysis of information and data
  • Attend divisional and departmental staff meetings; prepare reports of suggestions and comments of observations regarding the various aspects of the department and program
  • Assist and participate in the preparation of briefs, reports, evaluations, specifications, and plans
  • Other duties as assigned


Minimum Qualifications
Knowledge, Skills and Abilities:
  • Excellent analytical, critical thinking, and problem-solving abilities is essential
  • Ability to review documents for accuracy, completeness, validity, and adherence to guidelines
  • The ability to read and interpret contracts is essential
  • Must have excellent organization and strong interpersonal, communication and writing skills
  • Must be dependable, self-motivated and detail-oriented
  • Applicants must have a sound foundation in English grammar, spelling, and punctuation, along with a working knowledge of office methods, procedures, and practices
  • Applicants must have the ability to coordinate and prioritize many different tasks, determine the relative importance of each, set deadlines, and complete projects accordingly
  • Applicants must have the ability to accurately maintain records and files
  • Applicants must have strong organizational skills, be very detail-oriented, along with the ability to follow directions, take initiative, be flexible, have the ability to multi-task and independently make decisions on a day-to-day basis
  • Applicants must have demonstrated the ability to maintain a high degree of confidentiality
  • Applicants must have the ability to draft and compose correspondence
  • Applicants must have the ability to interpret and apply policies and procedures independently, and use judgment and discretion to act when precedents do not exist, along with the ability to troubleshoot most office administration problems and respond to all inquiries and requests related to the work area
  • Applicants must have the ability to learn, independently interpret, and apply a variety of academic and organizational policies and procedures
  • Must be able to work in a diverse team environment and possess excellent customer service skills

Minimum Qualifications
Education and Experience:
  • Bachelor's degree and 4 years of related experience with 2-years experience in program management. Applicants must have experience using standard office software programs such as Microsoft Outlook, Word, Excel, and Adobe Acrobat

Preferred Qualifications:
  • Masters degree in business administration or related field
  • Experience working directly with students
  • Experience maintaining records and documentation
  • Knowledge of PeopleSoft or a similar platform
