Job Summary 

The Assistant Director of Contracts supports the Office of Research (OR) sponsored project activities at Drexel University through direct oversight of the contract review, drafting, and negotiation processes for all research related contracts with external partners.

Essential Functions

  • Collaboration with internal and external stakeholders including:
    • Collaborate with the executive leadership in the Office of Research, Research Accounting Services, and colleagues in the Office of General Counsel, Office of Technology Commercialization, and Office of Insurance & Risk Management regarding the terms and conditions of research contracts for compliance risks and in order to protect the best interests of the institution and faculty researchers.
    • Collaborate with the OR eRA Team to develop and maintain effective electronic contract tracking systems and methods, troubleshooting issues, as well as developing metrics to track and assess effectiveness and timeliness.
    • Collaborate regularly with the members of the OR Management Team to address and resolve issues that bridge OR’s functional areas.
    • Collaborate with central administrative departments of the University to create seamless management practices and excellent customer service.
  • Maintain familiarity with Research Administration and Federal Regulations including but not limited to:
    • Provide expertise and consultation related to regulatory and policy issues. Remain knowledgeable about current federal regulations and pending changes, Uniform Guidance, FAR’s, and Cost Accounting Standards. Implement internal processes and controls to ensure compliance with all applicable fiscal policies and regulations. Coordinate with the OR program administrators, the Office of General Counsel, the Office of Technology Commercialization, Insurance & Risk Management and other administrative units as needed, to ensure regulatory compliance.
    • Be familiar with Export Control principles and work with the OR’s compliance team to identify and manage export control items.
  • Training and Stakeholder Outreach including but not limited to:
    • Develop and update training materials and standard operating procedures for use in communicating and educating OR staff and the university community about policies, procedures, issues and news in the contracting areas.
    • Actively pursue and implement new technologies and initiatives in the area of contract review, negotiation and management.
    • Encourage and support faculty in the pursuit of external support for scholarly and pedagogical activities. Promote and cultivate relationships with faculty and university administrators.
  • Lead the Contracts Team in successful execution of sponsored project contractual activities including:
    • Supervise the interface between extramural sponsors, program officials, principal investigators and department staff to facilitate the contracting functions for all University sponsored research activities.
    • Oversee the timely and accurate processing of all sponsored research contract vehicles.
    • Oversee the drafting, review and negotiation of terms and conditions for research contracts with industry, private and government sponsors (including but not limited to clinical trial agreements, sponsored research agreements, non-disclosure agreements, teaming agreements, subcontracts and amendments). Collaborate closely with the Office of General Counsel, the Office of Research, Academic Units, and principal investigators.
    • Analyze requests for information related to contracting and develop procedures to improve financial reporting.
    • Collaborate with members of OR’s Clinical Research Services team, research coordinators, principal investigators, and clinical partners to manage the preparation and negotiation of detailed budgets for clinical trial agreements and any modifications ensuring that all project costs are accounted for.
    • Collaborate with the executive leadership in the Office of Research, Research Accounting Services, and colleagues in the Office of General Counsel, Office of Technology Commercialization, and Office of Insurance & Risk Management regarding the terms and conditions of research contracts for compliance risks and in order to protect the best interests of the institution and faculty researchers.
  • Perform special projects and other responsibilities as required and assigned.

Required Qualifications 

  • Bachelor’s Degree
  • A minimum of 5 to 7 years career experience of successful performance in research administration with contract negotiation/management
  • Familiarity with generally accepted accounting principles
  • Knowledge of computer applications
  • Demonstrated ability to work under pressure, meet deadlines, and process large amounts of information
  • The ability to prioritize work, communicate effectively with diverse clientele both verbally and in writing, and work as a member of a large, complex support team
  • Must have the ability to work with minimal supervision and exercise independent judgment that support business unit initiatives

Preferred Qualifications 

  • Master’s Degree or JD
  • Prior supervisory experience
  • Experience at a non-profit or academic research institution
