Senior Coordinator, Program Management



Job Purpose

Provides administrative support for the Department of Radiation Oncology faculty and education programs, including undergraduate and graduate medical education and the graduate school for biomedical sciences. This role includes program management and development, accreditation, recruitment and day-to-day operations and knowledge in the systems utilized for all educational programs. The individual in this role serves as a liaison for the education programs with Undergraduate Medical Education (UME),Graduate Medical Education (GME), the Graduate School for Biomedical Sciences, internal departments, applicable external agencies, or trainees.

Job Duties

o Collaborating with program leaders to develop and present long-term strategies to ensure the viability, growth and enhancement of programs. Identify, develop and implement policies and procedures to comply with residency and accreditation guidelines and provide guidance on changing regulations and institutional policies.
o Coordinating the trainee recruitment process and on boards new trainees
o Scheduling or coordinating lectures, evaluations, meetings, rounds, exams, seminars, training rotations, electives or special electives, duty/call schedules, ceremonies, or events.
o Creating, monitoring, and tracking documentation of training and educational activities; Assists with grade and evaluation collection and submission.
o Ensures timely completion of rotation and curriculum evaluations, residency case logs and entry into electronic databases
o Provides administrative support for the program director and other faculty, including maintaining calendars, scheduling meetings, ordering supplies, and preparing correspondence.
o Supervises the organization, audio/visual needs, and catering for meetings, conferences, events, certificate luncheons and graduation dinners
o Fiscal Responsibility: Monitor and manage annual program budget, monitor expenses, secure resources/ funding.

Minimum Qualifications

• Education Required: High School diploma or GED.
• Experience Required: Four years of relevant experience.
• Certification/Licenses/Registration: None Required.
