Associate Director, Admission Technology

Admission Job Description

The Associate Director of Admission Technology will provide operational and strategic leadership for enrollment systems management and Slate CRM that supports the mission of the Admission office and serve as a project leader for system implementations. Supporting the Dean of Admission by providing reporting analytics to support recruitment initiatives and application reading processes, this role will provide solutions and services to meet evolving needs of the admission office to be responsive to changing technology resulting in greater efficiency, productivity and creativity. Working closely with the VP for Enrollment, you will provide reporting analytics to support admission enrollment goals, recommend enhancements to processes and technology, and actively participate in continuous improvement efforts. You will also manage the integrity and retrieval of data housed in the admission and college student software systems (Slate, Banner and Workday). A member of the admission senior staff, you will be responsible for building and maintaining positive working relationships with team members, ITS, internal customers and external vendors and provide technical support to admission staff and serve as liaison to Office of Information Technology Services and Office of Institutional Research.

Job Responsibilities

Slate/Enrollment

  • Provide project management and operational support for existing business processes within Slate CRM including but not limited to recruitment travel, event management, communications, forms, portals, application review, document management, rules, user permissions, admission decision release and security
  • Direct the Slate management team and oversee training on new functionality and tools to support enrollment goals
  • Build, update and execute new Slate features or oversee the building, updating and execution of new Slate features and provide staff training
  • Work directly with marketing coordinator and web developer to ensure timely and appropriate use of Slate for delivery of marketing campaigns
  • Manage and execute Slate queries/reports requested from senior leadership
  • Provide general Slate training and technical support and troubleshooting for admission staff, including onboarding new admission staff
  • Maintain strong working knowledge of Slate and stay abreast of new Slate developments through professional conferences and informal networking with Slate captains at other institutions
  • Work directly with Institutional Research in developing strong reporting and analytic tools to support enrollment goals
  • Direct and manage the application reading process and timelines through Slate including overseeing paired reading through CBE
  • Annually update application platforms Common Application and Coalition Application, including testing and implementation for first-year, transfer and Ada Comstock applications


Enrollment Analyst

  • Program and prepare reports and statistical analyses in support of admission functions, VP for Enrollment and other user departments
  • Produce schedule of standard reporting needs for admission
  • Analyze departmental information needs and identify their scope, complexity and feasibility. Create methods for meeting these needs and improving efficiency using technology
  • Assist with the ongoing implementation and upgrade of Workday, the college-wide ERP system
  • Manage electronic upload application process into Slate and the integration with the College ERP system
  • Maintain, develop and coordinate upgrades for Data transfer product
  • Work directly with ITS for all admission computer hardware, software, networks and systems
  • Work directly with Student Financial Services to ensure proper functioning of system integrations (PowerFAIDS, Banner/Workday)
  • Coordinate with staff on all on all mailing projects, with the marketing team for broadcast emails and with the dean of admission on reading and selection reporting schedule
  • Advise dean of admission on emerging technology challenges and opportunities with respect to Slate and college ERP system and other system tools to support admission function


Admission

Limited admission officer duties including student recruitment and file reading to insure familiarity with Smith College student recruitment

  • Plan and coordinate approximately three weeks of travel for student recruitment
  • Represent Smith at high schools, college fairs and with alumnae
  • Conduct admission related workshops on and off campus
  • Actively participate in on-campus recruitment and yield events, including leading information sessions
  • Read and vote on admissibility of candidates for admission
  • Interview and evaluate prospective applicants


Minimum Qualifications (knowledge, skills, education, experience, certifications, licenses)

Bachelor’s degree plus a minimum of three years of experience in admission or related field or an equivalent combination of education/experience; experience with Slate CRM required. Two years of direct integrated database environment related experience, or an equivalent combination of education and experience. Valid driver’s license and passport required.

Excellent organizational, interpersonal, written and oral communication skills; strong attention to detail and accuracy; strong quantitative skills; good judgment, flexibility, discretion and ability to maintain confidentiality; outstanding analytical and creative problem-solving skills; ability to interact with diverse constituencies; ability to manage multiple tasks and priorities simultaneously; ability to work on a team and independently; competent project management skills: strong computer skills, preferably MS Office Suite; proficient with integrated database technology, Excel, Access, SQL and Cognos; ability to work in a team environment both within Admission and College-wide; experience with SCT Banner or similar higher education ERP system is preferred. Experience with Slate required.
