IT Project Manager- 2yr Contract

Position Purpose

Provides organization and leadership for IT-related projects within the Academy. Plans, organizes and manages projects, their budgets and related milestones. Builds trusted partnerships with Academy users and IT teams in order to maximize the value of project management to achieve Academy goals.

IT Project Manager

  • Provide leadership and oversight of work on IT-related projects to include:
    • Helps project team evaluate and prioritize work for the team and establish project milestones
    • Ensures customer understands expected outcome of work and time frame to complete it, typically completing work within department Service Level Objectives (SLOs).
    • Helps handle difficult situations, either by offering advice, directly intervening, or escalating as appropriate.
    • Works closely with their team to improve work relationships, build morale, and increase productivity and retention.
  • Manage Team’s Project, Operational Budget and Capital Budget Responsibilities
    • Ensures projects are completed within budget, scope and are on schedule; engaging third party vendors and internal partners as appropriate.
    • Works to identify risks, including budget risks, early in the project and manage them, escalating them when needed.
    • Works with the PMO Manager and the IT Management Team to operationalize customer support for project work prior to project go-live.
    • Maintains current knowledge of industry trends, concepts, practices and procedures for managing projects, whether waterfall, Agile or other methodology .
  • PMO Team-specific operational responsibilities
    • Uses influencing and negotiation skills to collaborate across the enterprise to deliver high-impact and cost-effective shared solutions.
    • Communicates project direction, status, and risk in compelling ways, effectively reaching a wide variety of constituents, including senior leadership.
    • Manage project resources, removing any barriers to progress.
    • Seek to keep implementations simple, secure and easy to manage.
    • Ensure that project teams are documenting their work, including critical decisions made and key integration points with existing and expected future systems.
    • Document areas where enhancements may be made or new functionality added for future follow-up.
  • Maintain Project- and Program-specific documentation
    • Maintain project plans and roll-up timelines, reporting on project status in one-page summary form for the PMO Manager, Director of Technology Services and IT team members.
    • Ensure that project team maintains clear, concise and up-to-date project-specific documentation based on Phillips Exeter Academy templates.
    • Develop team and project communications plan, utilizing technology like Skype or Microsoft Teams to optimize internal collaboration on projects, as appropriate.
    • Maintain awareness of planned maintenance via the published Planned Work; ensure that project teams update Planned Work with any work related to strategic initiatives that impact existing systems (even if they’re dev/test systems).

Lead Training and Organizational Development

  • Continually improves the implementation of strategic initiatives with an emphasis on improving project outcomes, team member experience, information security, and strategic alignment to Academy goals based on feedback from team members, end users and knowledge of Academy priorities.
  • Mentors others within IT and partner departments in project management, documenting business systems, and planning for capital and operational budgets. Keep mentoring and training documentation simple to understand.
  • Ensures consistent, clear communication and open collaboration in a complex environment, delivering formal presentations or training to managers, staff, and faculty as needed.

Incumbent is expected to work with a high level of independence and autonomy, and exercise a high degree of initiative, influence, and judgment in decisions impacting staff and department operations.

Expected to solve problems or address issues that require immediate attention.

Direct/Indirect Reports

This position will not have any direct reports.

Internal & External Contacts

Frequent contact with PEA administrative and academic offices, faculty, staff, students, medical personnel, coaches and other Academy personnel is expected. External contacts may include alumni, parents, outside organizations, and contractors.

Position Requirements


  • Bachelor’s degree in Information Technology, Business Administration or 3+ years IT management or project management experience required.
  • PMP certification preferred.


  • Demonstrated ability to manage large projects required, including integrating multiple project plans into an overarching strategic initiative.
  • Demonstrated ability to collaborate with teammates and clients by building trust and credibility.
  • Demonstrated ability to engage vendors, ensuring their work is of high-quality and cost-effective.
  • Proven analytical and problem-solving skills.
  • Experience in an educational setting preferred.

Skills & Knowledge

  • High-level knowledge of managing and documenting business processes required.
  • High-level knowledge of managing third party software and related patching required.
  • Knowledge of best practices for security and life cycle management for end user assets.
  • Ability to work independently and handle multiple priorities and deadlines simultaneously.
  • Ability to build and leverage effective relationships and influence decisions and behaviors through partnering.
  • Excellent communication (written and verbal) and organizational skills.
Physical Requirements

  3. Finger dexterity required to manipulate objects with fingers rather than with whole hand(s) or arm(s), for example using a keyboard.

  5. Ability to see with normal parameters.
  6. Ability to use a visual display terminal with continuous wrist movement on a keyboard.
  7. Ability to hear within normal range.
  8. Ability to lift and transport up to 10lbs without assistance.
Additional Requirements
  1. Successfully complete a criminal background check (reviewed every 5 years).
  2. Clean Driving record (reviewed annually).
