Primary Purpose of Organizational Unit

The Finance team within the Division of Business Affairs supports the university’s mission, strategic vision, goals, and objectives by providing key financial services efficiently and effectively. The Finance team provides financial services directly to students and the campus community.

The Payroll Office administers all payrolls for UNCW and is responsible for the general accounting functions relating to payroll, the timely and accurate payments of salary to faculty, staff and students and the reconciliation and remittance of taxes, deductions and benefits and the related associated reporting requirements. The Payroll Office is responsible for maintaining the integrity of the Chart of Accounts and general ledger; management reporting of trend analysis and metrics; compliance with Federal and State regulations, policies and guidelines; training programs for campus and a high level of customer service.

Brief Summary of Work for this Position

The Payroll Specialist is primarily responsible for:
•Accurate and timely analysis, review and processing of payroll source documents for the student, premium, supplemental, and permanent payrolls.
•Accurate remittance of withholdings to federal, state and local agencies, benefit carriers and vendors.
•Creation, verification and submission of electronic files to federal, state and local agencies, benefit carriers and vendors.
•Accurate and timely reconciliation of payroll liability accounts.
•Creation and distribution of reports to university departments.
•Monthly processing of payroll check printing cycles.
•Interaction with all university departments including but not limited to Human Resources, Budget Office, Academic Affairs, Student Affairs, Financial Aid, Graduate School, IT and Financial Systems.
•Interaction with outside vendors and agencies including but not limited to the State Retirement System within the Department of State Treasurer ( DST ), Optional Retirement Program carriers ( ORP ), the Internal Revenue Service ( IRS ), NC Dept of Revenue ( NCDOR ), NC Division of Employment Security ( DES ), Office of State Human Resources ( OSHR ), and financial institutions.

Minimum Education and Experience Requirements

High school diploma or equivalency and one year of experience in accounting work; or equivalent combination of training and experience.

Other Minimum Required Abilities and Skills:

•Ability to work on campus to process monthly payroll check printing cycles.

•2-3 years experience with an integrated payroll system or ERP system.
•General knowledge, understanding, and application of federal and state tax laws and regulations.
•General knowledge and theory of generally accepted accounting principles.
•Excellent organizational and time management skills.
•Excellent customer service skills.
•Excellent oral and written communication skills.
•Ability to communicate at all organizational levels.
•Proficiency in Microsoft Office.

Preferred education, professional skills and experience

•Associate or Bachelor’s degree in Accounting, Business Administration or related field.
•3-5 years experience in a complex payroll environment, preferably in higher education, non-profit or government.
•Experience with Banner HR or similar ERP or Oracle application.
•General knowledge of business operations in an educational setting.
