Primary Purpose of Organizational Unit

The division for University Advancement responds to the needs of a variety of external and internal constituents in achieving its primary goals to: 1) Increase private financial support for prioritized university programs and activities, and 2) Improve external relations for the university through effective board management and donor stewardship. The division strives to raise funds, as outlined by the Chancellor’s vision statement and strategic plan, from the private sector to further the university mission of pursuing the resources that will enable our faculty and students to excel, and becoming intensely regionally engaged. In doing so, the division plans strategically to facilitate the identification, cultivation, solicitation and stewardship of all constituencies, and seeks to positively promote the university. The division’s fundraising efforts are enhanced by effective partnerships with components of the campus community as well as external audiences including alumni, parents, corporations, foundations, legislators, volunteer board members and friends. Development areas include major gifts, planned giving, corporate and foundation relations, annual giving, UNCW constituent liaison and alumni relations. Prospect management and research, advancement services, and external and donor relations are support services for the fundraising activities of the division.

Brief Summary of Work for this Position

This is an exciting opportunity to join a nationally recognized development team that values innovation, collaboration and accountability and is dedicated to the university’s mission as well as the mission of the division.

The Administrative and Budget Assistant provides administrative and financial oversight assistance to the Office of Alumni Relations, the UNCW Alumni Association as well as all University Advancement staff housed at the Wise Alumni House.

Key responsibilities:
*Provides clerical and budgetary support for the Alumni Relations team and the Alumni Association
*Manages calendar appointments, travel, reimbursements for Alumni Relations staff and all University Advancement staff housed at the Wise Alumni House
*Monitors and manages multiple funds for reporting and tracking expenditures, as well as assisting in budget preparation
*Manages data in Raiser’s Edge in coordination with Alumni staff, advancement services, events and board management & communications
*Supervises student workers and volunteers

Minimum Education and Experience Requirements

High school diploma or equivalency and one year of related office experience; or equivalent combination of training and experience.

Preferred education, professional skills and experience

• Associates degree or higher education
• Knowledge of UNCW practices and procedures in regard to business transactions and ability to implement appropriately
• Ability to quickly form positive relationships within University Advancement and across campus to promote assigned initiatives
• Experience working in a fast paced environment using diplomacy to move initiatives forward in a positive manner
• Experience/proficiency with Banner Finance
• Experience/proficiency using Chrome River
*Superior verbal and written communication, interpersonal, relationship building, creative problem-solving skills

*Proven ability to manage and reconcile multiple funds

*Demonstrated ability to work interdependently and independently in a collaborative environment

*Ability to request and interpret complex data reports

*Computer literacy using Microsoft Word, Excel and Outlook is fundamental

*Competency in navigation and use of the university’s database (Raiser’s Edge) and other development related software is essential

*Must possess a passion for service excellence, integrity, a positive outlook, commitment to highest standards of donor ethics, a strong work ethic, be self-motivated and committed to high performance and dedication to the value of higher education
